Helpful Ticketing Tips



1. Ticket Delivery Formats

Three ticket delivery “formats” are available choices.
* E-Ticket (easiest, paper free in that purchaser comes to the event with unique confirmation code checked against the Attendee list at the door)
* Mailed (if there are actual paper tickets available to be sent to buyers. Tickets are mailed by event host)
* Will-Call or Pick-up. (if there are actual paper tickets at a specific location)

2. Early-Bird Discount Pricing

This feature allows you to set a discount price for ticket buyers if they purchase by an early date. After that date, you can set the ticket price to go up automatically.

For example, let's say today is April 1 and your event is on May 31. You want to charge a $45 "discount" price for purchases from April 1 to April 30. The following day (May 1) you want a "regular" price of $50 to take effect. The "regular" price will remain until May 31, the day the event takes place.

Here's what you do:

  • You are going to want TWO ticket options.
  • Fill in Ticket #1 Details. Enter information for the "discount" or "early-bird" price.
  • For Begin Selling This Ticket On, enter April 1.
  • For Stop Selling This Ticket On, enter May 1st.
  • Then, click the link called Add Another Ticket Option.

    A new window called Ticket #2 Details will appear. This is where you enter information for the "regular" price.
  • For Begin Selling This Ticket On, enter May 1.
  • For Stop Selling This Ticket On, enter May 31.

    3. Promo Code

    Use this feature to offer a special ticket price to a select group. This allows you to set one price for members of the select group and another price for everyone else.
    Here's how:

  • Create a promo code (whatever you wish it to be).
  • Decide the ticket price that members of the select group will pay.
  • Send the promo code to members of the select group.
  • When they enter the code you created, the ticket price is reduced automatically.

    If you decide to offer a promo code after you have already completed our ticketing setup, contact us and we will implement it for you. We'll need the ID number of your event, the promo code you want to use and the promo price you are offering.

    4. Multiple Ticket Options

    We offer 4 ticket selling options. For Example:
    "Admit One for Dinner Only"
    "Admit One for Dinner and Tasting"
    "Admit One Saturday"
    "Admit One Saturday and Sunday", etc.

    5. Will-Call Pick-up Locations

    You can have as many “Pick-up” locations as you need. The system starts with allowing you four, but more are available upon request. In addition, you can place a separate email for each location so that each location is notified when a purchaser has selected that location for pick-up.

    6. To Change Ticket Prices

    Our accounting system does not allow ticket prices to be changed by you, once ANY tickets have been sold. Contact us to discuss the best way to handle a ticket price change.

    7. Multiple City Postings

    The location of an event may justify broader coverage than just one posting (example: an event in Washington, DC event might also be posted in nearby Maryland or Virginia). In the case of such multiple postings, here is a ticket selling tip:

  • Post and ticket your event for the main location where it belongs.
  • Upon completion of the ticket setup process, you will get a line of code -- both on the completion page and in an email sent to you. This code allows you to sell tickets from your own website by displaying a "buy-now" graphic.
  • Place the same code in the "Event Description" box of your subsequent postings.

    8. Attendees’ List

    An Excel spreadsheet is created for each ticketed event and is available to you 24/7 under “My Account”. It is sortable in any way that you might need based on the criteria of each ticket option. The spreadsheet includes full purchaser information, i.e., Name, Address, Phone, Type of ticket purchased, etc. It DOES NOT include the email address of the purchaser. We protect the privacy of all visitors to LocalWineEvents.com.

    9. Confirmations

    AUpon the purchase completion of a ticket, the purchaser receives an email confirmation that includes a unique confirmation number generated by our system. The email also reaffirms the event information and includes the hosts contact information for questions or concerns. The purchaser is instructed to print the email and bring it to the event. (Mainly for “e-tickets, but doesn’t hurt otherwise). The host also receives a confirmation of the purchase that includes the purchasers Name, Phone number and Address and unique confirmation number, but not the email address.

    10. Notices or Cancellation of Event

    We have built into the system a way to send an email to all ticket holders of any event. Available under “My Account” under the “Events” tab is an option for “Email to Ticket Buyers” which will send notices to all those who have purchased tickets to a particular event.
